The client file
Everyone who books has their own record, created on its own. Finding a client, reading their status, filtering, sorting, exporting.
In this article
Everyone who books — online or at the salon — has their own record, created on its own. The client file gathers your whole clientele, and tells you at a glance who's coming back, who's new, and who deserves a little message.

Finding a client

Type a first name, last name, email or phone number, then confirm with Enter: the list keeps only matching records. The shortcut Ctrl+K also opens the studio's global search, from any page.
The five cards

- Total clients: your whole clientele, in one figure. It grows on its own: every newcomer who books has their record right away.
- Loyal clients: clients who've come at least three times. The heart of your revenue.
- New this month: records created since the 1st of the month. A good thermometer for your visibility.
- To follow up: they've already come, but have had no appointment for over 90 days. A little message can bring them back.
- Inactive: records with no visit or appointment at all — often from an import or a cancelled booking.
The pills under the cards match these categories: a click shows only the loyal ones, the new ones, those to follow up or the inactive ones. All goes back to the full list.
The status, calculated on its own
| Status | Rule |
|---|---|
| New | Their first visit is coming up. |
| Active | From the first visit onward. |
| Loyal | From three visits onward. |
| To follow up | After 90 days with no appointment. |
| Inactive | Never came, no appointment at all. |
Reading the list

Client, phone, email, last visit, favourite stylist, number of visits and status — the essentials of each record, without opening it. Next to the name: the record's tags, and "opted out" if the client has refused communications. Sort by recent activity, by name or by number of visits; the double-arrow button reverses the order. Scroll down without worry: the list fills itself in as you go.
Clicking a line opens the full record.
Export, import, add
Under Options, export the displayed list as a spreadsheet file, or import your old client file (see Importing your clients). The New client button creates a record by hand — handy for a walk-in client.
Frequently asked questions
Two records for the same person
This happens after an import or a booking with a different email. Open one of the two records: the merge is done from the record, and both histories are kept.
A client no longer wants to receive messages
Open their record, Privacy card: record their marketing opt-out. They keep receiving their appointment reminders, but no campaigns.

Clients and loyaltyCreating a client record by handFor a walk-in client or someone noted in a book: the first name used at the salon, the phone number used for reminders, the tags, the formula and consent for promotions.
Clients and loyaltyImporting your clients from another systemComing from another system, a spreadsheet or a notebook: upload a CSV or Excel file, or paste a list. Each line becomes a record.
